This Privacy Policy explains how TexPTO ("TexPTO", "we", "us", or "our") collects, uses, and shares information when you use the TexPTO websites, applications, APIs, and related services (collectively, the "Service"). TexPTO is a permitting intelligence and workflow platform for solar installation professionals.
By using the Service, you agree to the collection and use of information as described in this Policy. This Policy should be read together with our Terms of Service.
1. Information We Collect
Account information. When you create an account we collect your name, email address, password (stored as a salted hash — we never see or store your plaintext password), organization name, and optional profile details such as an avatar image and language preference.
Organization and project data. In the course of using the Service, you and your team submit information about your solar projects, which may include project site addresses, customer names and contact details you choose to enter, system design details, photos and documents, permit applications and related paperwork, and notes and task activity. Project site addresses are used to determine the applicable permitting authority, utility, and related requirements.
Payment information. Paid subscriptions are processed by Stripe. Your payment card details are provided directly to Stripe and are not stored on TexPTO's servers. We retain limited billing records (such as plan, invoice status, and a customer reference).
Usage and device information. We collect standard technical data such as IP address, browser type, pages viewed, and actions taken in the app. We use this for security (for example, rate limiting and abuse prevention), troubleshooting, and product improvement.
Communications. If you contact support, subscribe to updates, or receive transactional email from us, we keep records of those communications.
Cookies. We use cookies and similar technologies to keep you signed in, remember preferences, and — on our marketing site, subject to your consent choices — measure site usage. See Section 9.
2. How We Use Information
We use the information we collect to:
- provide, operate, and secure the Service, including resolving project addresses to the correct permitting authority and utility;
- prepare permitting checklists, documents, and related outputs you request;
- process payments and manage subscriptions;
- send transactional messages (such as verification codes, project notifications, and billing notices) and, with your consent where required, product updates;
- respond to support requests;
- monitor, debug, and improve the Service, including aggregate analytics; and
- comply with legal obligations and enforce our Terms of Service.
3. AI-Assisted Processing
TexPTO uses artificial-intelligence systems to research and compile permitting requirements and to power features such as document pre-fill and data lookups. This means that certain data — for example, project addresses, jurisdiction names, and the content of permitting documents — may be sent to our AI provider (Anthropic) for processing on our behalf.
Our AI provider processes this data as a service provider under commercial terms; under those terms, data submitted through the provider's commercial API is not used to train its models. AI-generated outputs may be reviewed by TexPTO staff for quality assurance.
4. Service Providers (Subprocessors)
We share information with a small set of service providers who process it on our behalf and under contract:

We may update this list as the Service evolves; material changes will be reflected in this Policy.
5. How We Share Information
We do not sell your personal information. Beyond the service providers above, we share information only:
- within your organization — teammates and organization administrators can see project data and activity within that organization;
- with people you choose — for example, if you share a customer status portal link, the recipient can see the project status information it contains;
- for legal reasons — when required by law, subpoena, or legal process, or to protect the rights, safety, or property of TexPTO, our users, or the public;
- in a business transfer — in connection with a merger, acquisition, financing, or sale of assets, in which case this Policy will continue to apply to previously collected data; and
- with your consent — for anything else, we ask first.
Aggregated or de-identified information that cannot reasonably identify you (for example, jurisdiction-level permitting statistics) may be used and shared for any purpose.
6. Data Retention
We retain your information for as long as your account is active or as needed to provide the Service. You can delete your account at any time from your account settings, which removes your personal account data; some records may be retained afterward where required for legal, billing, security, or dispute-resolution purposes, or where retained in backups for a limited period. Organization-level project records may be retained by the organization that owns them after an individual member leaves.
7. Security
We use industry-standard safeguards to protect your information, including encryption in transit (TLS), encrypted storage, hashed passwords, role-based access controls, and audit logging. No system is perfectly secure; if we become aware of a breach affecting your personal information, we will notify you as required by applicable law.
8. Your Rights and Choices
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. You can exercise most of these directly:
- Access and correction — review and update your profile and organization details in account settings.
- Deletion — delete your account in account settings, or ask us to do it.
- Marketing email — unsubscribe links are included in non-transactional email.
For anything else — including rights under state privacy laws such as the Texas Data Privacy and Security Act — contact us at support@texpto.com. We will verify your request and respond within the timeframe required by applicable law. We do not discriminate against you for exercising your privacy rights.
9. Cookies and Analytics
The application uses strictly necessary cookies for authentication and session management. Our marketing site uses an optional analytics cookie only if you accept it through the consent banner; you can decline without affecting your use of the site. We do not use third-party advertising cookies and we do not engage in cross-site behavioral advertising.
Because we do not sell personal information or share it for cross-context behavioral advertising, there is nothing to opt out of under "Do Not Sell or Share" laws; we treat universal opt-out signals accordingly.
10. Children's Privacy
The Service is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us personal information, contact us and we will delete it.
11. Where Data Is Processed
TexPTO is operated from the United States, and the Service is currently offered for use in the United States (Texas-first). Your information is processed and stored in the United States by us and the service providers listed above. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States.
12. Changes to This Policy
We may update this Policy from time to time. If we make material changes, we will provide notice (for example, by email or an in-app notice) before the changes take effect. The "Last updated" date at the top of this page reflects the most recent revision.
